Our portfolio features some of Australia’s largest construction, Infrastructure and industry conferences. Expotrade events have high profile speakers including ministers who attend on a regular basis.
Expotrade Australia has now expanded its events base to the Middle East. Our office, Expotrade Middle Eas FZt LLC is located in Media City, Dubai and will be producing conferences in the Middle East region. Due to this recent expansion, our Dubai office is currently seeking an experienced Conference Producer to develop, produce and manage these conferences serving the construction and infrastructure sector.
As a Conference producer, you will be responsible for topic generation, researching, producing and project managing the conferences from inception to completion.
Responsibilities will include:
1. Carrying out research with senior industry professionals to identify cutting edge conference topics and source speakers.
2. Writing conference programmes
3. Providing input to sales and marketing strategy and ensuring that conferences run to schedule and within budget.
4. Onsite event management
5. Coordination with speakers, venues and sponsors
Skills Required:

- Manage the production revenue budgets ensuring that quality and cost efficiencies are met through best possible material usage and execution.
- Maintain a cost/revenue sheet highlighting the net profit of the production line item ensuring that costs are kept at minimal levels and revenue maximized.
- Identify suitable suppliers capable of implementing high quality of jobs using the most cost efficient and high quality material for each media asset/element.
- Ensure that digital media, light boxes and all other assets are well maintained and are operational at all times during the working hours.
- Oversee the production coordination and ensure the delivery of the same meeting deadlines.
- Prepare and maintain a price comparison sheet of different elements from different suppliers.
- Generate Proof of Play reports along with photographs of all executed campaigns and maintain an archive of the same.
- Manage the logistics and ensure the security and safety of the assets.

The conference co-ordinator liases with speakers in the preparation for an event making sure that materials are submitted on time and that all speaker requirements are met at the events. Co-ordinators also manage speaker travel and accommodation requirements as well as close internal co-operation with producers. The ideal candidate will be highly efficient, enjoy communicating over the telephone and good at working to deadlines. Each co-ordinator manages up to five conferences each month making this role highly demanding. The role can be used as a training ground for conference production.

Conference Producers are at the forefront of the company, specialise in business research, and project management. You will research and put together the intellectual content of conference programmes at the cutting edge of business strategy. You will be responsible for structuring the conference agenda as a result of live research with senior managers from a cross section of companies, selecting and inviting high-level speakers, copy writing, designing the conference brochure and ensuring profitability of entire projects - from the initial idea to the smooth running of the event. Conference producers have a lot of budgetary control and you will be making financial decisions that will have significant bottom line impact. Throughout the production cycle, you will work closely with the Marketing Manager to ensure the best possible marketing campaign and with the Sponsorship Manager to put together an effective sponsorship strategy.
